The most common merchandise problem is a late order. Printing, quality checks and delivery all take time, and the closer you get to the event, the fewer options remain. Working backwards from the event date avoids stress and gives you more choice.

Start from the date you need the goods

Do not use the first day of the event as your deadline. Allow a buffer so that goods arrive before the setup day, with time to unpack and check them. Tell us this date when you ask for a quote.

The stages of an order

  1. Planning: choose the products, quantities and budget.
  2. Discussion and quote: confirm the specification and price.
  3. Artwork and proof: you send the logo, we prepare a proof, you approve it. Delays here are the most common cause of missed deadlines.
  4. Production: typically two to three weeks after proof approval, and some items have an express option.
  5. Shipping: allow time for delivery to the country and venue, including any customs checks outside the EU.

Practical tips

  • Request your quote as early as you can, even before you have final numbers. You can adjust quantities later.
  • Have your logo ready as a vector file in AI or EPS format. We require vector artwork.
  • Approve proofs quickly. Production does not start until you do.
  • Ask about express production if your timeline is tight. It is only available on some items.
  • Ship to your office or hotel rather than directly to the venue unless the organiser has confirmed how deliveries are handled.
